4. Website Accuracy, Pricing & Availability
4.1. General Information: Content on our Website is provided for general information and portfolio display purposes. In the event of a pricing error on the Website, we will inform you before confirming your booking or processing your order. 5. Bookings, Purchases & Master Service Terms
Any booking of Live Event Services (Live Wedding Painting, Live Guest Illustrations, Live Wine Bottle Painting) or order of Studio Commissions (Guest Table Place Cards, Painted Wine Bottles, Painted Champagne/Wine Glasses, and Commissioned Artwork) made through this Website, via email, or via social media is governed by our Master Terms & Conditions of Sale & Service, which are set out in full immediately below this section.

MASTER TERMS & CONDITIONS
1. Application of Agreement & Future Services
1.1. Structure: Sections 1, 2, 11, 12, and 13 apply to all bookings with Jee Paints. Sections 3 through 10 apply wherever the corresponding service is selected on the Booking Schedule (or subsequently added by the Client).
1.2. Currency: All monetary amounts in this Agreement are in GBP (£), and the Client is responsible for any international bank transfer or currency conversion fees.
1.3. Future Art Services: Jee Paints may introduce additional art services or products in the future. Any additional services requested by the Client and confirmed in writing (including via email) shall automatically be governed by the general protections, payment rules, and liability limitations of this Agreement.
2. Deposits, Payments, Cancellations & Venue Changes
2.1. Booking Deposit: To secure an event date or commission slot, a 25% booking deposit is required. For Live Events, payment of the deposit must be made within three (3) months of booking confirmation or twelve (12) months prior to the event date, whichever comes first. No date is locked in until the deposit has cleared.
2.2. Live Event Cancellation Policy:
- Cancellations made in writing more than 90 days prior to the event date are eligible for a full 100% refund.
- Cancellations made within 90 days (90 days or fewer) of the event date are strictly non-refundable, and any remaining balance for the booked package remains payable as a genuine pre-estimate of loss for the reserved event date.
2.3. Studio Commission Cancellation Policy: For all non-live commissioned work (including Guest Table Place Cards, Studio Wine Bottles, Champagne/Wine Glasses, and Studio Canvas/Paper Artwork), strictly no refunds are given once artistic work has commenced or once the first delivery/shipping stage has started.
2.4. Venue or Location Changes: Venue or location changes for Live Events are accepted with at least one (1) month’s written notice prior to the event date, subject to the Artist's logistical availability. Location adjustments may be subject to additional travel and accommodation expenses depending on distance (see Section 3.5).
2.5. Event Postponements: If the Client needs to postpone their event date, they must provide written notice as early as possible. If given more than 90 days prior to the original event date, Jee Paints will allow one (1) complimentary date transfer to a new date within twelve (12) months, subject to availability and travel fees. If the new date falls into a subsequent calendar year or peak season, the Client agrees to pay any increase in Jee Paints' current standard package and travel rates. If Jee Paints is unavailable on the new date, the standard cancellation policy in Clause 2.2 applies.
3. General Live Event Terms (Applies to All Live Services)
3.1. Parking & Venue Access: For all Live Events, the Client must ensure complimentary on-site parking (or reimburse the nearest paid parking facility/loading bay fees) as close to the setup area as possible. If the workspace requires navigating stairs without lift access or long-distance unloading, the Client must notify Jee Paints in advance.
3.2. Workspace & Guest Visibility: The Client must ensure the venue provides a safe, level, well-lit, and weather-protected space for the Artist to work that is clearly visible to guests. For Live Guest Illustrations, sufficient table space must also be provided to display completed sketches. If the setup is outdoors, full overhead cover from rain, wind, and direct sunlight is mandatory.
3.3. Event Delays & Schedule Changes: On-site package hours begin promptly at the pre-agreed arrival time. Jee Paints is not responsible for lost painting/illustrating time caused by late ceremonies, overrunning speeches, venue delays, or weather interruptions. If delays cause the Client to require the Artist beyond the contracted finish time, standard overtime rates (£70.00/hr) will apply.
3.4. On-Site Assistant: Jee Paints reserves the right to bring an assistant on-site at the event to assist with setup, pack-down, photography, and guest management.
3.5. Travel & Accommodation Fees:
- South-East England & London: Covered within the standard package fee.
- Rest of England & Wales: Travel, accommodation, and work-related travel fees apply, capped at £250.00.
- Scotland & Europe: Travel, accommodation, and work-related travel fees apply, capped at £1,000.00.
- Worldwide (Outside Europe): Travel, accommodation, visas, and work-related travel fees apply and are uncapped.
- The final travel fee is pre-agreed prior to booking (subject to adjustment if the Client changes the venue under Clause 2.4).
3.6. Risk Minimisation – Guest Conduct & Venue Permissions:
- The Client is responsible for confirming prior to the event that the venue permits live painting and art materials on-site.
- The Client is financially responsible for any damage to the Artist’s equipment, materials, or artwork caused by guests, pets, or venue staff. If unsafe, aggressive, or intoxicated behaviour prevents the Artist from working safely, the Artist may cease working without any refund owed to the Client.
4. Live Wedding Painting (Canvas)
4.1. Scene Selection & No Mid-Paint Changes: Prior to the event, the Client chooses their package, canvas size, the specific moment they want captured, and whether extra figures are to be included in the portrait (extra figures or bespoke additions may incur an extra fee discussed and agreed beforehand). Once the Artist has started painting, the chosen moment and composition cannot be changed.
4.2. Arrival, Package Hours & Overtime: The Artist will arrive 2 to 3 hours before the ceremony (or before the pre-determined moment at the venue) to set up and begin painting. Packages include a set number of on-site hours. If the time spent at the venue does not use up the total hours included in the package, unused time is strictly non-refundable. Any extra on-site time requested by the Client beyond the package hours is charged at £70.00 per hour.
4.3. On-Site Reveal & Transfer of Custody: Once the live canvas is finished on the day, the Artist will take photographs of the work and usually leave the portrait to be displayed at the reception. The Client assumes full legal custody and risk of loss/damage of the canvas from the moment it is left for display at the reception (Jee Paints is not liable for wet paint smudges, spills, or guest damage occurring during or after display).
4.4. Studio Refinement & Delivery: Depending on the artistic requirements, the Artist may need to take the canvas back to the studio for refinement and varnishing. The Artist will inform the Client of this after the on-site reveal. Studio refinement takes between 2 weeks and 1 month, depending on the package, after which the Artist will either hand-deliver or courier the finished canvas to the Client. Collection and storage of completed items are governed by Clause 10.
5. Live Guest Illustrations
5.1. Dual Package Limit (Hours vs. Guest Count): Each package entitles the Client to a set number of hours and a set number of guests. The Artist will stop illustrating as soon as EITHER the total booked hours OR the total guest quota has been reached, whichever comes first.
5.2. Overtime & Extra Sketches: Any extra hours agreed on the day are charged at £70.00 per hour, and extra guest sketches beyond the package quota start from £15.00 per guest (for an A6 card).
5.3. Complimentary Illustration: Every Live Guest Illustration package includes one (1) free watercolour illustration of the couple, main organisers, or main person/people of the event.
5.4. Display & Collection: The Artist will display all sketches completed on the day out on the table for guests to view and take home when they leave. Jee Paints is not liable for sketches that are left behind, taken by the wrong guest, or damaged on the display table after completion.
5.5. Hybrid "Guest-Pay" Packages: Under specific packages, the Client pays the initial hiring cost and individual guests pay the Artist a predetermined rate (based on the Client's chosen package) if they wish to have an illustration of themselves. The Artist accepts both card and cash payments at the event.
6. Live Wine Bottle Painting
6.1. Bottle Quota Guarantee: Packages include a set number of hours and a set quota of wine bottles. For Live Wine Bottle Painting, the Artist will continue painting until the bottle quota is fulfilled, even if this goes into overtime at the venue at no extra hourly charge.
6.2. Studio Completion if Quota Not Reached: If the bottle quota cannot be completed before the end of the venue hire/event, the Artist will take the remaining bottles back to the studio to be completed and send them back to the Client at no extra charge.
6.3. Extra Bottles & Client Supply: The Client must provide all wine bottles to be painted. Design details are discussed and agreed beforehand. Any additional bottles the Client wishes to have painted after the package quota is finished will be charged at an extra fee.
7. Commissioned Guest Table Place Cards
7.1. Booking & Reference Photo Deadlines: Orders depend on the number of guests requiring a place card and must be booked at least four (4) months in advance of the venue date. The Client must provide clear reference images of all guests at least three (3) months before the venue date.
7.2. Delivery Timeline: The delivery fee is quoted in the final cost, and completed table place cards will be sent to the Client two (2) weeks before the venue date.
7.3. Missed Photo Deadlines & Post-Event Grace Period:
- Strictly no refunds are given for guests who do not send their photo in time for the 3-month deadline.
-
However, if a missing guest sends a photo of themselves within two (2) weeks after the venue date, Jee Paints will illustrate and send out their table place card subject to the following:
- If the original package guest quota has not already been reached, the illustration is covered by the package, but the Client/guest must pay for delivery.
- If the guest quota has already been reached, they may still order their card within that 2-week window, but will be charged individually for the illustration plus delivery.
8. Studio Wine Bottle & Champagne/Wine Glass Painting
8.1. Supply of Bottles & Glassware:
- Wine Bottles: The Client must provide the wine bottle and deliver it to Jee Paints. The quoted delivery fee includes the cost of the Client sending the bottle out to Jee Paints and Jee Paints sending the completed bottle back to the Client.
- Champagne/Wine Glasses: The Client may choose to deliver their own glass to Jee Paints, or Jee Paints can order one. The cost of a standard glass is included in the package; however, the Client must pay an extra cost if they request a custom glass. Delivery is quoted in the final cost.
8.2. Inbound Transit Risk: Jee Paints is strictly not liable for any damage, breakage, or loss that occurs in delivery when the Client sends their bottle or glass out to us. Clients must package fragile items securely before posting.
8.3. Outbound Return Transit (Studio to Client): Completed bottles and glassware will be dispatched by Jee Paints using specialist protective packaging via a tracked third-party courier. Because fragile glassware and liquids are routinely excluded from standard courier damage insurance, return shipping is provided subject to the chosen courier’s standard terms and compensation limits. Once the item has been securely packaged and handed over to the courier (or upon the Client's failure to report transit damage with photographic evidence of the box and item within 48 hours of delivery), Jee Paints shall not be liable for replacing the underlying bottle/liquid or refunding the artistic service fee due to third-party courier mishandling. Where possible, if an item is damaged in return transit, Jee Paints will offer to re-paint a replacement glass or bottle provided by the Client at a discounted studio rate (or free of labour charge, with the Client covering replacement item and shipping costs).
8.4. Design, Turnaround & No Refunds: Design details are discussed prior to painting. Jee Paints aims to deliver completed items within one (1) month, though this is an estimate and may change based on schedules and order volume. Strictly no refunds are issued once work or the first delivery has started.
8.5. Care & Decorative Use Disclaimer (Risk Minimisation): Hand-painted bottles and glassware are created for decorative keepsake purposes. Unless explicitly stated otherwise in care instructions provided by Jee Paints, painted glassware should not be placed in dishwashers, microwaves, or soaked in water, and Jee Paints is not liable for paint wear caused by washing, abrasion, or improper care after delivery.
9. Studio Commissioned Artwork (Watercolour / Pencil Sketch / Oil on Canvas)
9.1. Scope & Reference Photos: Packages include the cost of a single figure, with extra charges applied for additional figures, pets, complex backgrounds, or extra features. The Client selects what they want captured by submitting a reference photo and order notes prior to work starting. The quality and detail of the final portrait depend directly on the clarity and resolution of the reference photo provided.
9.2. Turnaround, Delivery & No Refunds: The delivery fee is quoted in the final cost. Jee Paints aims to deliver within one (1) month, but this timeframe is indicative and subject to change based on studio schedules and order volume (in particular, oil paintings require sufficient drying time prior to shipping). Strictly no refunds are issued once work has started. Collection and storage of completed items are governed by Clause 10.
10. Artistic Style, Revisions & Reference Materials (Risk Minimisation)
10.1. Artistic Interpretation: By booking Jee Paints, the Client acknowledges that they have reviewed the Artist’s portfolio and are hiring the Artist for their signature creative style and interpretation. Live paintings and hand-drawn illustrations are artistic renderings, not photorealistic replicas. Variations in likeness, colour, and proportion are inherent to live and handmade art and do not constitute defects or grounds for a refund.
10.2. Text & Spelling Accuracy: Any names, dates, quotes, or custom text to be painted or written on Place Cards, Wine Bottles, Glassware, Canvases, or any other bespoke item will be copied strictly as typed or provided by the Client in their written order notes. Jee Paints is not responsible for spelling mistakes, grammatical errors, or incorrect dates submitted by the Client. Any replacement items or re-painting required due to Client typos will be charged at the standard individual item rate plus delivery.
10.3. Client Reference Material Warranty: Where the Client supplies reference photographs, names, or design requests, the Client warrants that they have the necessary permission from the copyright holder (e.g., professional photographer) and the individuals pictured to share those images with Jee Paints for the creation of bespoke artwork.
10.4. Revisions: Live event artworks and live guest illustrations are created spontaneously and do not include free post-event structural revisions. For studio commissions, once painting/drawing has commenced based on the Client's pre-agreed notes and reference photos, changes to the pose, clothing, or composition cannot be made without incurring an additional fee.
10.5: Unclaimed artwork, Storage & Abandonment: Once Jee Paints notifies the Client that a refined live canvas or studio commission is complete and ready for delivery or collection, the Client must confirm delivery details and pay any outstanding balances or shipping fees within thirty (30) days. Items left unclaimed in the studio for more than sixty (60) days may incur a storage fee of £15.00 per month. Any artwork remaining unclaimed for more than six (6) months shall be deemed legally abandoned and may be disposed of, sold, or repurposed by Jee Paints without liability or refund.
11. Intellectual Property & Promotional Rights (Risk Minimisation)
11.1. Copyright Retention: Under the UK Copyright, Designs and Patents Act 1988, Jee Paints retains full copyright and reproduction rights to all artwork created under this Agreement.
11.2. Client Usage: The Client purchases the physical artwork for personal, non-commercial display and gifting. The Client may share images of the artwork on personal social media (crediting Jee Paints), but may not reproduce, scan, sell, or create commercial merchandise from the artwork without prior written consent from Jee Paints.
11.3. Artist Portfolio & Marketing: Jee Paints retains the right to photograph and film the creation process and finished artwork (including at the venue) for use in portfolios, websites, social media, and promotional materials. (If the Client requires an embargo on posting studio commission photos until after a specific wedding or gift date, the Client must notify the Artist in writing).
12. Illness, Force Majeure & Limitation of Liability (Risk Minimisation)
12.1. Artist Illness or Emergency (Live Event Pivot): In the unlikely event that the Artist suffers severe illness, injury, or an emergency preventing attendance at a Live Event, Jee Paints will notify the Client as soon as possible.
For Live Wedding Painting or Live Wine Bottle Painting: The Client shall be given two options:
- Full Refund & Cancellation: The Client may elect to cancel the booking entirely, in which case Jee Paints will issue a full 100% refund of monies paid for that service, and no studio artwork will be created.
- Studio Completion & 60% Refund: Alternatively, the Client may elect for Jee Paints to complete the artwork in the studio from high-resolution event photographs (with on-site travel fees refunded), in which case Jee Paints will provide a 60% refund of the package fee to account for the live attendance absence while still delivering the finished studio artwork.
For Live Guest Illustrations: Where a live studio pivot is not possible, Jee Paints' liability in the event of non-attendance shall be limited to a full 100% refund of monies paid for that specific service.
12.2. Force Majeure: Neither party shall be liable for failure to perform obligations due to events beyond reasonable control (including extreme weather, transport network shutdowns, fire, flood, epidemic, or government restrictions).
12.3. Liability Cap & Courier Damage: Jee Paints holds Public Liability Insurance for live event work. In all circumstances, Jee Paints’ maximum total financial liability to the Client under this Agreement shall not exceed the total fee paid by the Client for the specific service in question. For outbound courier deliveries arranged by Jee Paints, any transit damage must be photographed (including the outer packaging) and reported to Jee Paints within 48 hours of delivery so a courier claim or repair can be arranged.
13. General Legal Provisions & Governing Law
13.1. Entire Agreement & Modifications: This Agreement (comprising the Booking Schedule and Master Terms) constitutes the entire agreement between the Parties. Any modification or addition to the booked services must be agreed in writing (including via email) by both Parties.
13.2. Severability & Waiver: If any provision of this Agreement is held to be invalid or unenforceable, all remaining provisions shall continue to be valid and enforceable. A waiver by Jee Paints of any breach or deadline shall not operate as a waiver of any subsequent breach.
13.3. Governing Law: This Agreement is governed by and constructed in accordance with the laws of England and Wales, and both parties submit to the exclusive jurisdiction of the courts of England and Wales.
13.4. Data Protection & Guest Privacy (UK GDPR): Personal contact details and guest reference photographs provided to Jee Paints are used strictly to fulfil the contracted artwork. Guest reference photos submitted for Place Cards or Commissions will not be shared with third parties and will be securely deleted within thirty (30) days following the completion of the post-event grace period or order delivery.
